Question

Charged for sharing access to file

Amritha

I have been charged 15$ for each person I shared my file to. I have an annual account and I received an invoice for this for the past month’s activities.

I’ve been using Figma only since February and I’m still just learning how to do things here. And not one person online talks about how sharing access to files is a charged service.

I cannot afford to pay for this charge right now. I will have to look for an alternative service or create a different account and try to manage with that somehow. I have sent an email to support requesting that the fee be wavered.

Nowhere in the app or online did it say this? And nor did it alert me while I was sharing the file that I would be charged for this. This is not at all transparent and super shady.

I haven’t gotten any reply from Figma support regarding what can be done for this. I am yet to pay the fee because I simply cannot afford it and Figma is basically holding all my work hostage. I don’t know what to do now.

Hi there! Sorry to hear this is happening. The support team replied you with all the details about your billing (they have adjusted your invoice for your information.) Please check your inbox. (Your ticket number is 1044876)

For people who may encounter the similar issue, this usually happens because there are added seats outside the original annual agreement.

As a reminder, Figma plans are tied to specific teams instead of to individual user accounts. This means that the team is responsible for paying for all editors invited to the team or invite to edit on resources within the team.

Here are a few resources where you can learn about managing seats and team permissions. Additionally, I recommend having an admin set up email notifications to receive an alert when a full seat is upgraded, as well. You can see more about notifications here.

If you’d like to prevent additional charges in the future, we recommend setting your user type to ‘Viewer-Restricted’ as the default. This will then require Admin approval for a user to be upgraded to a paid Full seat. Our Help Center provides instructions on how to do this.

Hope this clarifies!

This happened to our team too, quite a few times, and i agree, that it’s really not clear how it works.
Figma should give you a warning message AT LEAST when you send out editor links, AND give you an approval email BEFORE it starts automatically charging you.

I’ve also just run into this issue, I’ve just been charged for several people who are all on other paid accounts. This is a pretty big oversight.

Hey Kalin, I understand why it’s annoying. If you haven’t already, please get in touch with our support team for help correcting seat numbers & charges by filling out this form: https://help.figma.com/hc/en-us/requests/new

Had the same issue. That is just not a good way to do business. At least warn people that they will be charged but yeah i understand that you will get less money that way. i just hope you love customers more than sucking money out of them.

This has happened to us, too. I just happened to login to get an the payment invoice for our accountant, and found lots of new users who I didn’t even know. How can we share a file and then get billed for the user? We’ve used Adobe and others for decades, and have never had this sort of thing occur. I’ve told my staff not to share any files until we can get some info on why this is happening.

Can someone explain how this could be happening, and what we can do to avoid it, please?

Hi @Ian Morris

I'm sorry to hear about the billing issue with your account. For billing-specific questions, our support team can review your account details and assist you further due to security reason. Please contact them using this linkPlease make sure you use the email associated with your Figma account, include links to the file in question, and share access with support-share@figma.com. Don't worry, inviting us to view your file won't impact your billing.

As my colleague Céline suggested, if you’d like to prevent additional charges in the future, we recommend setting your user type to ‘Viewer-Restricted’ as the default. This will then require Admin approval for a user to be upgraded to a paid Full seat. Our Help Center provides instructions on how to do this.

Thanks for your patience.

Thanks. I did go on to do that. I saw yesterday that Figma issued an update that means that paid seats need to be approved by default, which hopefully stops this for others:

"going forward, upfront admin approval will be required for any seat requests that would incur additional costs"

Panic over :)
