Question

Unexpected charge for "Available seat" with no setting

Nguyen_Do

Last year, we had two Full Figma seats. However, later on last year, a user with Full Figma seat was removed from the team. It looks like we missed the announcement of the new billing model, so this year we have to pay for two Full Figma seats with one "Available" seat. This is very unexpected.

Besides, after looking around in the Admin page, we can't seem to find anywhere we could adjust the number of Paid seats. Everywhere there's a "Manage" button, we're led back to the People page, where it's only information.

We may need to contact Support for further assistant, but may I ask what the problem it is? Is it because we missed a note where we could select to keep the “Available" seat or not, or is there any misunderstanding?

Hi @Nguyen_Do, Thank you for reaching out about this.

We understand you wish to remove one seat from your current annual subscription, which currently includes two seats.

We apologize for the inconvenience you experienced while trying to locate the settings on the Admin page.

To clarify, if you intend to modify the number of seats at renewal, you must click the [Review seats] button within the banner displayed at the top of your Figma admin. This banner becomes visible 30 days prior to your renewal date and persists until the date of renewal.

Please check the details in the article on managing billing for the Professional plan: Manage billing on the Professional plan

I noticed that you have already contacted our support team via a support ticket, and one of our support specialists is waiting for your reply. Please check your inbox and kindly respond to the ticket.

Thanks again for reaching out!

Hi @Junko3,

I also have a problem with unassigend seats.

We had two full seats, now I have changed one seat to “Dev”. Then I tried to change the “Dev” seat from “Monthly” billing to "Yearly". Suddenly I had 2 full seats and one dev seat.

How can I remove an unused full seat?

Hey @Roger_Wesemann, I’m stepping in to help! You’ll have the option to remove any unused seats from your Billing overview page.

If you need to remove a user’s access before your renewal, here are your options:

  • Change their seat to a free View seat, which allows only view and comment access to Figma Design, FigJam, and Figma Slides.
  • Remove the user from the team (Professional plan): Remove access to teams.
  • Remove the user from the organization (Organization and Enterprise plans): Remove people from an organization

In both cases, the seat will remain available for someone else to use until the end of the subscription period. You can find more details on seat management here: Manage seats in Figma.

Let me know if you need any further clarification—I’m happy to help!

Man, this is pretty confusing guys. I think what people are reacting to is the uncertainty about whether or not we’ll be charged for “available seats” in our next billing cycle. I.e. when my next bill rolls around, will Figma assume that I want to keep my current number of available seats and charge me for them?

What I want in the UI is either:

  • Confirmation that unused seats will automatically be dropped (not charged for) during the next billing cycle
  • In lieu of that: the ability to manually mark a seat as un-needed to be certain that it won’t be billed in the next cycle

Hi @Gayani_S ,

Thank you very much for your help.
I think the crucial sentence is this one:

"In both cases, the seat will remain available for someone else to use until the end of the subscription period"

So if I switch a team member to a different plan, the old seat remains in place until the next billing.
Accordingly, I have one more seat during this time.

However, I find this confusing when you are on the billing page and suddenly have one more seat when you change the plan of a team member. This should be explicitly mentioned.

I assumed that the plan would then change from the next billing period.
