How can I cancel additional seats?

I accidentally added additional seats. Looking at the billing, it looks like an additional amount has been incurred next month. How can I cancel additional seats.?

Hey @chococlass.miraen01, thank you for reaching out! I understand that accidentally adding additional seats can be frustrating, especially when it impacts your billing.

Here’s how Figma’s billing works with added seats: if an extra editor interacts with a Figma Design file or edits a FigJam file, they’ll count as an active editor and will be included in your monthly invoice. For annual plans, extra editors above your subscribed seat count will also trigger additional charges.

To avoid these charges, Figma only checks the number of active editors on your billing date each month. So, if you downgrade any extra editors to “Viewer - restricted” before that date, they won’t be included in the next invoice.

You can review your billed users on the “Members” tab of your team page:

  • Set the “Design role” or “FigJam role” filter to “Editors” or “All” to view who is currently counted as an editor.
  • Downgrade any extra editors to “Viewer - restricted” for both Design and FigJam roles if needed, as each editor role adds to the charge.

Hi @Gayani_S, Thanks for your reply. I have additional questions.
The added seats were set on an annual basis, and the annual cost was seen in billing. Right now I haven’t added any members. If I continue to not add members and maintain only one admin account, won’t they be added to next month’s billing?

Thank you for following up @chococlass.miraen01! Just to clarify, have you converted any of the monthly seats to annual seats on your annual subscription?

When you start or renew an annual plan, you’re billed for a set number of seats for the entire year. Any additional seats added during the year are billed monthly, allowing flexibility for users who may only need access for a limited time.

So if you’ve downgraded these extra editors to “Viewer - restricted” before your billing date you should not receive a separate monthly invoice.

If you want to avoid extra charges, I’d recommend setting any users who don’t need full access as “Viewer - Restricted” (Free), so they won’t automatically convert to paid seats.

Hi. My annual plan started in May 2024.
Yesterday I accidentally added 2design seats and 2 fig jam in Settings > plan > add additional seats.
Now, even if I see the added seats and amount in billing, if I set the added member to viewer-restriccted, Does this mean the billing amount will change?
I would like to maintain one annual plan account(admin) that I paid for last May., and only cancel the design seats and FigJam seats that were added yesterday.

Thanks for clarifying! If you’ve set those added seats to “Viewer - Restricted” before the billing date, you shouldn’t see an additional charge for them.

I’ve changed all the seats (except mine) to “Viewer - Restricted” but the billing screen still shows the amount.

Look at the Projected subtotal.

I asked support for the same thing. They are charging me more (100usd) and I have only 3 full seats (it should be 60usd)

Hey ​@Rahul Sanjay Lavhande, thanks for reaching out! I’m happy to clarify. 

Seats are billed for the entire duration of your billing term, so any changes will apply at your next renewal. Before that date, you’ll have a chance to remove any unused seats directly from your Billing overview page.

If you need to adjust user access before your renewal, you have two options:

  • Change the seat to a free View seat — This provides view-only and comment access to Figma Design, FigJam, and Figma Slides.
  • Remove the user — You can remove them from the team (for Professional plans) or from the organization (for Organization and Enterprise plans). This will free up the seat for someone else to use until your renewal.

When it’s time to renew:

  • For annual plans: You’ll see a banner in your Figma admin 30 days before your renewal. Click Review seats to adjust the number of seats for the next term.
  • For monthly Professional plans: Changes to seats can be made at any time, and unassigned seats won’t be renewed for the next month.

Why you might still see charges: In the updated billing system, any changes you make to your seats will result in charges that are reflected in the projected subtotal. If you hover over the "projected subtotal" tooltip on the billing screen, you’ll see a detailed explanation of where those charges are coming from. This may include prorated charges for any changes made mid-cycle, as well as upcoming renewals.

I’d recommend to reach out to our support team if you want more information on the projected subtotal you’re seeing.
