We are in Professional Team tier. My colleague registered and purchased 2 seats. After that he started learning the administration. He invited 3 more users for testing and we started understanding how viewer, viewer restricted and full seats work. These extra 3 users were active for some minutes and then they will be either deleted or set back to viewer resticted mode. If it stays this way till the end of the month, how many seats will we pay? 4? 1? 2?

Additional info/question:

This information makes me even more confused:

Manage billing on the Professional plan

We ordered 2 seats in a monthly plan (as we had not understood the use-based logic yet). If we only assign one full team member during the full month, how many seats will be billed? One, as only one seat had been administered or two as two setas had been purchased?

Hey @Gabor_Hrasko, thank you for reaching out! I totally understand that billing can be a bit overwhelming. I am trying my best to clear your questions.

To clarify a bit of context: Additional editors invited to a file will be counted toward the monthly invoiced after they start interacting with a Figma Design file as an editor or if they edit a FigJam file. This also applies to teams on annual plans once the amount of editors exceeds the amount of annual seats on the subscription.

Please do take a look at this invoice example:

You purchase 15 Figma design seats and 30 FigJam seats on the Professional plan on annual billing.

When you subscribe, we’ll charge you an annual invoice for US$3,240. This breaks down to 15 Figma design seats x $144 per user per year + 30 FigJam seats x $36 per user per year.

In your first month, you add 3 Figma design seats and 3 FigJam seats.

In your second month, we’ll charge you a monthly invoice for US$60. This breaks down to 3 Figma design seats x $15 per user per month + 3 FigJam seats x $5 per user per month.

So if you add new paid seats to your team during an annual subscription, Figma will charge you a separate monthly subscription for those seats.

In your case ( you’ve purchased 2 annual full seats and 3 extra users who got invited to a file ) you’ll be charged for 2 seats annually and 3 seats monthly.

You’ll have the two following option to convert these monthly seats to annual seats on an annual subscription or downgrade them before your billing date by following these steps:

Figma only checks the number of editors on the monthly billing date, which means you would not be billed for extra editors if you downgrade them before your billing date.

You can check who is billed from the “Members” tab of your team page. Set the “Design role” or “FigJam role” filter to “Editors” or “All” to see billed users. From there you can downgrade any editor to “Viewer - restricted” on the Design or FigJam to remove that user from billing. Note that a user who is both a Design and FigJam editor will create both charged separately.

The following questions are confusing me a bit but I am trying my best to answer them.

“We ordered 2 seats in a monthly plan (as we had not understood the use-based logic yet). If we only assign one full team member during the full month, how many seats will be billed? One, as only one seat had been administered or two as two setas had been purchased?”

Admins don’t need a full seat; they can use a viewer or viewer-restricted seat in both Figma Design and FigJam. As free users, they won’t appear on your invoice. This means you’ll have 2 full seats available, and for example, if you invite 3 new editors to a file, they will be billed monthly.

Please let me know if something is unclear or if you have any further questions, happy to help out!

Thanks,

Gayani

Hi,

thanks for the reply. We had purchased a montly subscription with two seats, not annual. Question scenarios:

  1. How much will be charged if only one person is using the system in a month?

  2. How much will be charged if four people are using the system for a day, but at the billing day, only two?

Hey @Gabor_Hrasko! Apologies I got it wrong but it does work the same way when you have a monthly subscription. Additional editors invited to a file will be counted toward the monthly invoiced after they start interacting with a Figma Design file as an editor or if they edit a FigJam file.

  1. You’ve mentioned you’ve purchased two seats, that means you’ll be still paying for the two seats monthly. Even if you’ve been using only one of the seats.

  2. If you’ve 2 additional editors who are getting downgraded before billing day, you’ll be only paying for the two purchased monthly seats.
