I cannot find a clear explanation of how it is handled in Figma billing if a company pays for an annual account for a designer, and the employee leaves.

It does not look obvious to me that the license is a seat license. Like…how do I assign that seat to the new employee for the rest of the year paid for?

We can’t just lose the rest of the year that we paid for because an employee leaves right?

Has anyone dealt with this? @Figma can you explain how this works?

Thanks.

Hey @KennLucas, thank you for raising this concern—it’s a valid and important question!

Licenses aren’t attached to individuals, so when an employee leaves, you don’t lose the paid seat for the remainder of the year, so you can reassign the seat to another team member.

Here’s how you can handle it:

  1. Downgrade the departing employee’s seat to Viewer-restricted. They’ll have a free Design seat, allowing them to view files but not edit them.

  2. Upgrade the new employee to a Full paid seat so they can edit Figma Design files.

You can manage these changes from the Admin panel in Figma. Here’s the step-by-step process:

  1. From the file browser, click Admin in the left sidebar.

  2. Select the People tab.

  3. Navigate to the person you’d like to manage and click their seat type for a product.

  4. Select a different seat type according to the options below.

For additional details, you can check out this guide: Get started with organizations. Also, keep in mind that Figma will be updating its pricing, seats, and billing experience starting March 11, 2025. You can read more about these changes here.

I hope this clears up your concerns, and please don’t hesitate to reach out if you have more questions!
