Figma organisation account and user access

I have an organization account in Figma created using my company Email ID and the annual subscription is active till end of December 2024. It so happened that 3 new users from my organization who were working on a short term assignment requested for “Full” seat access and the same was granted by me as the Admin. However, I missed the “true-up” period expiry communication from Figma and did not downgrade their access before the due date. As a result, for those 3 new users, I ended up paying the cost of “Full” seats for the remaining subscription period. Since these users were only meant to have access for a shorter period, I downgraded their access to “Viewer” after making the payment for their “Full” seat. I now have the following questions and would appreciate some guidance from the Figma team or the larger Figma community.

  • For those 3 users (A, B and C) for whom I already made “Full” seat payment and are now downgraded to “Viewer” permission, is it possible to allocate their “Full” seat access to 3 other users (X, Y and Z) who now need “Full” seat access for rest of the subscription period? If “Yes”, how can I go about it

  • The 3 users for whom I ended up making the “Full” seat payment and then downgraded to “Viewer” permission, is it possible to identify who those 3 users or accounts are ? I’m asking because I have multiple users who had “Full” seat access during various points in time. However, after missing the “true-up” period expiry communication from Figma (thereby ending up making full year payment for those users), I went on an overdrive and removed the “Full” seat access for several other users who were still within the true-up period. I now need to find out which 3 users actually got me charged for overstaying the “true-up” period. Is it possible to find this. If “Yes”, please advise.

  • Today, if I purchased a “Full” seat for an employee in my organization and the employee concerned leaves the organization after 2 months, is it possible to re-allocate that “Full” seat of that employee to another employee? If “Yes”, how can I go about it. If “No”, how can such situations be handled within an Organization account of Figma.

  • Supposing I purchase a “Full” seat for a user in my organization account and then later downgrade that user’s permission such that she/he now has “Viewer” permission for Design and “Full” permission for Dev Mode, will I be charged as a “New” developer seat against this user. I’m asking because Figma sent me an invoice stating that a “New” Developer seat has overstayed the “true-up” period. Technically, I had already made the payment for a “Full” seat and then downgraded only the “Design” seat permissions to “Viewer”. Under this circumstance, is it right to charge me a “New” developer seat for the same user. Please advise. I tried explaining this matter to Figma Support email and they didn’t seem to understand my problem.

For others in the community who may have a similar question, subscriptions are linked to teams, not individuals. Therefore, you are billed based on the number of editors in your team.

If the number of editors on your team is less than the number of seats you own, you can consider changing some viewers to editors.

Basically, your annual subscription includes the same number of seats you had when you first upgraded your team. If you add more seats, you’ll be charged monthly for those additional seats.

For new users who only need temporary access, you can manage their billing monthly and remove them when they’re no longer needed. You can also switch any editor from monthly to annual billing.
