I need to edit my annual plan renewal post-invoice

I desperately need help. I am new to my role and have just been given Figma admin rights. I have logged on to find a $9,240 annual plan renewal invoice that was supposed to be paid last week.

 

The delay in admin handover means I completely missed the 30-day window to review the seats. I am the only designer and yet we have 7 full seats and a bunch of other seats taken by people who aren’t even at the company anymore. I am aware if I delete the seats now it won’t change the upcoming bill for 2025/2026 but please could I get in contact with someone who can help rectify this with me as I am super stressed about this bill.

Thanks for taking the time to share all of this context. I understand this is a really stressful situation, especially stepping into a new admin role and discovering that the renewal invoice had already been generated before you had a chance to review the seat setup.

While we’re unable to handle billing issues directly in the forum, I was able to locate your support ticket (#1924221), and I’ve gone ahead and added some additional internal visibility so the Billing team has the full context around your situation.

In the meantime, you can start removing or downgrading seats for users who are no longer with the company to View seats so your workspace setup better reflects your current team moving forward. While this likely won’t change the current renewal invoice that has already been generated, our Billing team will be taking a closer look at your account directly and reviewing the full context around your situation. They’ll be best equipped to look into your specific circumstances and help determine what options may be available from here.

I'm looking for advice on a billing issue with our Figma Professional workspace.

Here's our situation:

  • We have an annual Professional subscription.
  • The renewal invoice has already been generated, but it has not been paid.
  • Initially, we planned to renew with 4 Full Seats and 1 Dev Seat, so the invoice was generated based on that.
  • Before making the payment, we decided to reduce the subscription to 3 Professional Full Seats.
  • I've already changed the unnecessary users from Full to View, but the invoice doesn't update because it has already been generated.
  • I've contacted Figma Support multiple times, but it's been over 2 business days with no response.
  • Our team is currently locked out of Figma, so this has become urgent.

My question is:

Can I safely cancel the current Professional plan and then immediately subscribe again with only 3 Professional Full Seats?

Specifically, I'd like to know:

  1. Will canceling the Professional plan automatically cancel or void the existing unpaid renewal invoice?
  2. Can I immediately purchase a new Professional subscription with 3 Full Seats?
  3. Has anyone successfully done this without creating duplicate invoices or billing issues?

I'd really appreciate hearing from anyone who has gone through a similar situation.
