Management of Seats is Absolutely Terrible

The management of seats is absolutely terrible. We have unused seats, and there is no way in the user interface to remove them to avoid being charged in the next billing cycle. 

If this is automatically not charged, it is not explained anywhere. 

The most terrible experience I had managing subscriptions after 25 years of actively using internet.

Thanks for taking the time to share this feedback. I’m really sorry the seat management experience has felt frustrating — happy to help clarify.

I can see that you’re on an Organization plan — admins can manage and change a person’s seat type from the Admin → People page.

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

To change a seat type:

  1. From the file browser, click Admin in the left sidebar

  2. Select the People tab

  3. Click the person’s current seat in the Seat type column

  4. In the popup modal, select the free View seat and confirm the change

If you need to remove someone’s access before your next renewal, you can either:

  • Change their seat to the free View seat (which keeps view/comment access only), or

  • Remove the user from the organization

In both scenarios, the paid seat becomes available for someone else in your organization to use for the remainder of the subscription period.

For Organization plans, seats are purchased for the duration of the billing term (with quarterly invoices). If you no longer need certain seats going forward, the total seat count can be reduced at your next renewal.

About 30 days before your annual plan renews, you’ll see a “Review seats” banner at the top of your Figma admin. Clicking Review seats will open a modal where you can adjust the number of seats for the upcoming renewal.

As I said, this is a terrible experience.

I have the exact same issue of wanting to bring back the number of paid seats before renewal in our Org plan, but that "Review seats" button isnt in my Admin ui. Confirm subscription of course is, but altering seat numbers is not. Please help out

This is ridiculous. I removed a bunch of seats and then got a bill for ALL of the seats no one was using. Further research says that you can only remove seats during a 30-day window and that I would get a notice, which I did not get. But removing those seats, didn’t remove seats – it only removed the people. This is a problem. It’s not clear anywhere in the application. I only found this out after I did more research.

How you review and manage seats differs by plan type. To see your current settings, log in at www.figma.com/login with the email address tied to your admin account, then click Admin in the left sidebar of the file browser. From there:
