Request to cancel an unintended added seat charge on annual plan

Hello, I am using the Professional plan with annual billing. I accidentally approved a request for an additional Full seat and immediately changed the user back to Viewer. However, a ¥2,000 charge still appears on an upcoming invoice. The seat was never actually used as a paid seat, and this resulted from an accidental action. I would appreciate your review and would like to request cancellation or waiver of this upcoming charge. Thank you.

Hey ​@Sunjin Oh, thanks for reaching out!

On annual plans, seats are purchased for the duration of your billing term, so even if a seat goes unassigned, you're billed for it until your next renewal. When you approved the request, that triggered a prorated charge for the new Full seat for the remainder of the current billing period, which is why the ¥2,000 is showing on your upcoming invoice. 

 

Since you've already moved the user back to Viewer, that seat is now unassigned. Here's what to keep in mind going forward:

  1. Confirm the seat is freed up, Go to Admin > Billing > Overview and check that the seat count reflects it as available (unassigned). You can view how many seats you have and how many are available at the top of the People page too.
  2. Remove it at renewal, Thirty days before your annual plan renews, you'll see a banner in your Figma admin. Click Review seats to open a modal and adjust the seat count for your next billing term. That's the point where you can drop back down to your original number.
