Refund Request for Accidental Charge / Adjusting Seat Count

Hello Figma Support Team,

First of all, I didn't know that full sheet approval leads to paid payments.
This unintentionally gave two team members 'full seat' permission, and we now know that this leads to an additional fee. So we changed the seats of the two team members who got 'full seats' to 'view' and 'collabo'. After that, there are 2 full seats available in the admin menu and I want to release these 2 full seats.

If possible, I don't want to be charged for this.
As you can see from the usage history, one of the team members did not use the full sheet at all and the other team members used only the slide function.

Thanks for reaching out, and no worries at all, this is a really common situation and I’m glad you flagged it quickly.

 

I can see what happened with the two Full seats, and it sounds like you’ve already taken the right steps by moving those users to View and Collab access.

 

Here’s how things work and what you can expect:

 

1. Cancelling the 2 unused Full seats
Since those seats are now unassigned, they won’t be billed moving forward.

  • On a monthly plan, removing or downgrading seats takes effect straight away.
  • On an annual plan, unused seats will be removed at your next renewal.

 

2. Refund for the 2 unused Full seats
Charges are typically based on seats added during the billing period, even if they were not actively used. 

 

3. Keeping 1 Full seat (annual) and 1 Collab (monthly)
That setup works fine. Just make sure:

  • Only the required users have Full seat access
  • Others remain on View or Collab seats
  • Seat approval settings are enabled to avoid accidental upgrades in future

 

A couple of tips to help avoid this going forward:

  • You can manage seats anytime in Admin > People
  • Moving users to View seats will free up paid seats
  • Reviewing seats before renewal helps avoid unexpected charges
  • Enabling seat approval prevents new paid seats being added without admin approval
