Paid Professional Plan restricts public link sharing unless files are moved to Drafts

I am a paying customer on the Pro plan and a team admin. I needed to share a file externally with job candidates for a case study interview process, but the "Anyone with link" sharing option was completely missing and blocked inside the team folder.

The only way I could get the public link option back was to completely remove the file from our team workspace and move it back into my personal Drafts, and this only allows me to share with ANYONE which is crazy!! It is ridiculous that Pro plan users do not have direct admin access to toggle public link settings within our own team folders without being forced into this messy, unorganized workaround or forced to upgrade.

This makes no sense figma team. Restoring standard external sharing options for files inside team folders on the Pro plan is necessary we should not have to choose between keeping our team space organized and basic link access.

Hey @Jedy, thanks for reaching out!
Let’s find out what your file is showing.

  1. Open the file and click Share.
  2. Click the audience access row at the top of the share modal to open the share settings.
  3. Under Who has access, open the dropdown to see which options your file offers.
  4. Check that you’re the file owner or have can edit access to the file. Admins can also change permissions on files they already have access to.

Could you tell me which options you see under ‘Who has access’ when the file is inside your folder? That’ll help me work out what’s going on from here.

If you still don’t see a link sharing option after these steps, reach out to our Customer Support team through the Support Hub and include the link to the file. The team can look into the file’s permissions with you. You can find the details in Get help from the Figma Support team.

If you need to share the file in the meantime, here are some ways to keep access more controlled.

  • Add a password. Click Share, then under Additional security check Password required. People will need the password to open the link.
  • Invite candidates by email. Click Share, add their email addresses, and choose can view. This gives them access to just that file, not the rest of your folder.
  • Restrict copying and exporting. On paid plans, you can stop people with can view access from copying, sharing, or exporting from the file. This applies to people invited by email and people who open a link. It works one file at a time.
