Issue Updating Annual Seat Count

Dear Support Team,

I'm the admin of ABC Workspace.

I recently updated our annual seat count from 5 to 6 and confirmed the change in the system. However, I still only see 5 annual seats.

I'm trying to add one more person, but the system is showing that the additional seat will be billed as a monthly subscription instead of being included in the annual plan.

I'm not sure how long it takes for the annual seat update to take effect. The system also shows the next payment date as 27 August.

My concern is that since our renewal is on 27 August, increasing the annual seat count from 5 to 6 will likely change the invoice amount. I need to inform our Finance team in advance so they can prepare the correct payment.

Could you please let me know if there's anything I need to do, or if I just need to wait for the update to be processed? I'd also appreciate it if you could confirm when the new annual seat count will be reflected in the system.

A couple of things about how seat changes work on the Professional annual plan that might explain what you're seeing:

There are two different ways to update an annual seat count, and they behave differently: Since I can't see which of these you used, I'm not able to say for certain why you're still seeing 5 rather than 6. This would need a look at your specific workspace.

  • The seat renewal banner/modal that shows up about 30 days before your renewal (which sounds like it could apply here, since your renewal is 27 August) updates your seat count for the upcoming renewal. It wouldn't take effect until that renewal date.
  • The separate "Add seats" option in your Total seats table under Admin adds annual seats to your current term right away, with the charge landing on your next monthly invoice.

Separately, on the new person you're trying to add: if you assign someone before an annual seat is available for them, Figma bills that seat on a separate monthly subscription (prorated) until it's converted to annual. That part matches what you're describing and is expected behavior on the Professional plan.

Because confirming exactly which change you made, when it'll take effect, and how it'll land on your 27 August invoice all depend on your specific workspace, that's account-specific billing detail I'm not able to confirm here on the forum for security and privacy reasons. I'd recommend submitting a request through our Support Hub. Our customer support team can check your workspace directly and give you a definite answer to pass along to your Finance team.

Hi Gayani,

Thanks for the clarification. I have attached the screenshots. 

From what I understand, if I add a new user as a full seat before our annual renewal on 27 August 2026, that seat will be billed as a monthly seat until 27 August 2026, correct?

After that, Figma will upgrade our plan from 5 to 6 annual seats, and that user will automatically be converted to an annual seat.

Is my understanding correct?

If so, I'll let our Accounting team know that adding the new user now will incur a monthly charge of around $20, and that our annual renewal on 27 August 2026 will be updated to $1,152.

Also, could you please confirm that our renewal will be for 6 annual seats? Will I receive a confirmation email from Figma before the renewal is processed?

To answer the general mechanics behind your two questions:

  1. Yes, if you add a new person to a Full seat before your 27 August renewal and there isn't an available annual seat for them yet, that seat gets billed on a separate monthly subscription (prorated) in the meantime.
  2. Yes, since your renewal modal shows you've confirmed 6 annual Full seats for the 27 August renewal, any seat still being billed monthly at that point converts into one of those newly confirmed annual seats once the renewal finalizes. No separate action needed on your end for that conversion.

The exact numbers on your invoice and the final confirmed seat count for your specific renewal are account-specific billing details I'm not able to verify or share here on the forum for security and privacy reasons.
