How can I restrict seat licenses?

Figma’s licensing is incredibly frustrating. Why can my team members freely allow others to request seats? This is unacceptable. I often have no way to control this behavior. Please tell me how to prevent others from allowing seat requests.

If you’re an Admin, you have the following options:

You can set seat approval settings to "manually approve". This is the most direct way to take control. As an admin, you can require that every seat request goes through you before anything is granted:

  1. From the file browser, click Admin.
  2. Select the Settings tab.
  3. In the Billing section, click Seat approval settings.
  4. In the popup, switch each seat type to Manually approve seats.

Once this is set to manual approval, all seat upgrade requests must be approved by an admin before they take effect. Users can still request a seat, but nothing is granted or billed until you approve it. More info here: Set approval settings for new seats.
 

If seats have already been granted that you didn't intend, you can move those people back to a free view seat at any time:

  1. From the file browser, click Admin.
  2. Select the People tab.
  3. Click a person's current seat in the Seat type column and update it from there.

Their seat will be available for someone else to use for the remainder of the subscription period and you can remove available (unassigned) seats at your next plan renewal. You can also find more details in our Help Center article here: Manage seats in Figma.
