Full seat disappears after three days

Hello, we have a problem: we give a user a full seat, but it disappears after three days. We don't add him to the team, we just give him access. We have available seats in the plan. Can you tell please what might be wrong?

There may be a couple of scenarios could explain what you’re seeing:

  • If this user requested a paid seat, they’ll receive temporary 3-day edit access while the request is pending approval. If that request isn’t approved within that window, access will revert automatically.
  • If someone recently left your team or organization, their paid seat may have been freed up and reassigned, which may explain the disappearing behavior you’re seeing.

A few questions that should help narrow this down:

  1. What type of plan are you on? I ask as seat approval flows differ slightly by plan. This guide may help clarify the differences: Approve or decline seat upgrade requests.
  2. Are you approving a seat request from this user, or sending an invitation? This is where that 3 days of temporary editing access comes into play while admins review the request. More details here: Make a seat request → What happens after I make a request?
  3. Does the user still appear in your members list with the expected seat type after the three days pass?
  4. Is this happening with all users or one in particular?
