Unexpected seat charges after mistaken approval — has anyone dealt with this?

Hi everyone,

I’m hoping to learn from others’ experiences with Figma’s licensing and billing model.

Recently, Figma identified 6 additional seats in our organization based on what they say is our approvals data. Unfortunately, we had mistakenly approved those licenses, and only afterward realized the impact: the added seats represent a significant cost increase (thousands of dollars) for our org.

What’s been frustrating is that:

  • We don’t have full clarity on how Figma determined the need for these seats
  • We don’t actually need these additional licenses going forward
  • Despite this, we’ve been told we can’t cancel them and would be charged for the next three quarters of usage

From our perspective, this feels unfair — especially since the approval was unintentional and the licenses won’t be used.

I wanted to ask:

  • Has anyone else run into a similar situation?
  • Were you able to negotiate, reduce seats, or get an exception?
  • Any advice on how to approach this with Figma in a more effective way?
