Need help understanding an unexpected Figma Professional billing charge

Hi everyone,

I’m a Junior UX/UI Designer at my company, and I’m trying to understand an unexpected charge on our Figma Professional plan.

Here’s our setup:

* We have a Figma Professional plan that normally costs us around $60 per month.
* There are 3 designers working on the Professional team:

  * 1 Senior UX Designer, who is the admin/owner
  * 2 Junior Designers, including me

The two Junior Designers are not admins and do not manage the Professional plan, billing, or seats. We simply work on the files under the Senior UX Designer’s Professional team.

Recently, for a design-related task, I gave our **Product Analyst Edit access to one specific Figma file for approximately 10 minutes.

The Product Analyst was not previously part of our Professional team or one of the 3 paid seats.

After that, our company was charged $96.13 instead of the usual ~$60.

My CEO and Senior Product Head believe that the additional charge happened because I gave the Product Analyst Edit access.

This is where I’m confused.

As far as I understand, seat management and billing are controlled by the Professional plan admin, which in our case is our Senior UX Designer. I’m only a Junior Designer and I don't have admin/billing permissions.

So my question is:

If I’m not an admin and don't manage the Professional plan or its seats, how was I able to give another person Edit access to the file?

Does giving someone **file-level Edit access automatically trigger a seat assignment or billing event, even if the person giving access is not an admin?

Or does the person need to be added to the Professional team/assigned a paid seat by the team admin before they can edit?

There is also another factor:

Last month, we had an intern who was also editing some of the same Figma files. The intern was also not one of the 3 regular designers on the Professional plan.

So I’d really appreciate clarification on the following:

1. Can a non-admin Junior Designer give another person Edit access to a Figma file?
2. If yes, how does that work from a seat/billing perspective?
3. If I gave the Product Analyst Edit access for only approximately 10 minutes, could that result in a new paid seat or additional charge?
4. Can a non-admin user actually cause Figma to add a billable seat, or does that require approval/action from the Professional plan admin?
5. Could the intern's editing access from the previous month have contributed to the current $96.13 bill?
6. Does Figma charge based on file permissions, or based on team seats?
7. Can the admin see an audit/history showing when a user was given a seat or when an additional seat was added?
8. Is there a way to identify exactly what caused the bill to increase from approximately $60 to $96.13?

I’m not trying to determine who is responsible for the charge. I’m simply trying to understand how Figma's file permissions, team membership, seats, and billing interact, especially when a non-admin designer gives someone Edit access for only a few minutes.

Any explanation from someone familiar with Figma Professional billing would be greatly appreciated.

Hey ​@salimrezasujon - happy to help clarify some of this.

Based on what I understand from your post, your CEO and Product Lead are on the right track. This likely happened because of the edit access invite you extended to your Product Analyst. In inviting them, a seat was created for them in that team, so you moved from having 3 seats to 4.

I’ll go down one-by-one on your questions:

 

1. Can a non-admin give someone Edit access to a file?

  • Yes. Anyone with Edit access can share that same access with someone else, admin or not.

2. How does that affect billing?

  • If the person receiving access doesn't already have a paid seat on the team, Figma creates one automatically right when access is granted. See here: Manage seats in Figma

3. Could 10 minutes of Edit access cause a charge?

4. Can a non-admin cause a billable seat, or does it need admin approval?

  • A non-admin can cause it directly through file sharing with no approval needed. Admin approval only comes into play for seat upgrade requests, which is a separate path. See: Set Approval settings for new Seats

5. Did last month's edit access contribute to this bill?

  • Yes, same likely cause as above.

6. Is Figma billing by file access or by seat?

  • By seats specifically.

7. Can we see exactly when the seat was added?

  • At the moment, there's no timestamped history in a professional plan — Organization/Enterprise plans have additional capabilities that I believe you’d be looking for. See: View and export activity logs

8. How can we confirm what caused the increase?
