Question

Issue with Open Session permissions

Olivia12345678

I use figma on an academic account. I rely heavily on the “open session” on figjam (as a replacement for Google’s jamboard), but I have been running into some issues with it. Sometimes when I send someone the link to the open session, despite it saying it will allow anyone to edit with no account required, they are only given view/comment access, and not editing access. The open session is not timed out, because it is a manner of minutes/seconds after the session is created that the link is sent, and in the time using the whiteboard (usually up to an hour) the issue does not resolve.

I have been told by the recipients of the link that they get a message saying “an error has occurred”.

I am unsure what exactly creates the bug or how to replicate it, as from my end it is seemingly random. I send the link to the figjam board via the chat on Google Meet, or email. The recipient clicks it and then attempts to edit the board. Sometimes it will work going to the same recipient via the same method, and sometimes it won’t.

In the past I have been able to get around this if I invite the recipient directly by entering their email into the “invite” field, but recently this hasn’t been working. I received a warning when I tried to do this today saying that I would need to “upgrade the seat” of the user. However, I would like to use the open session so that I can edit with users outside of my team - from other academic institutions, and those without accounts too.

Thank you in your advance for your help. I am happy to provide more details if there is anything else needed.

Hi @Olivia12345678 , thanks for reaching out about this!

I understand you're experiencing an issue where visitors in your open session can't edit. Thanks so much for taking the time to explain everything. We recognize open sessions are a really important part of your workflow, and we understand how frustrating and inconvenient this must be.

Could you quickly check where the file is located? If it's currently in your drafts, could you try moving the file to a project within your education team?

Once the file is moved, try starting an open session from it and see if others can edit.

I hope this helps! Thanks again for reaching out.

Thanks for the response, sorry I’m a bit late getting back.

All the files that I try to create open sessions on are located in various projects within the education team. None of them are in drafts.

Thank you again.

Hi @Olivia12345678, thanks for getting back to us.

I understand that even though your file is in your education team project, open sessions visitors can't edit it.

I'm going to create a support ticket for you with the information you've given us. Our support team will be in touch to help you get this sorted out. Keep an eye on your email inbox—you should get a message about the new ticket soon. It'll go to the email address we have for your account.

Here's the information we'd like you to have ready, if possible, while you're waiting for the ticket email:

  • The URL of the file where the issue is happening
  • A video or screenshot that shows us exactly what a visitor sees when they click the link

Then, when you get the ticket confirmation email, please reply to it with this information.

Thanks for your help with this!

Thank you very much for your help! I’ll try to get a student to send through said video/screenshot before then.
